How we source, store, and secure data.

This policy explains where trace data comes from, how it moves through UBOtrace, and the controls that protect it at every stage.

Data sources

Records are sourced from official corporate registries, registered agents, lawyers, and accountants. We prioritise primary sources over aggregated public filings.

Chain of custody

Every document is tracked from retrieval through authentication (notarisation and apostille where required) to delivery, producing a defensible evidence trail.

Storage and encryption

Data is encrypted in transit and at rest. Access is restricted by role, and sensitive source documents are stored with strict access logging.

Data residency

Where required, we support jurisdiction-specific handling and residency arrangements for regulated clients under Enterprise terms.

Retention and deletion

Trace outputs and audit records are retained per your compliance requirements. Deletion requests are honoured subject to legal and regulatory obligations.

Breach response

We maintain incident-response procedures and will notify affected clients and authorities as required by applicable law in the event of a data breach.
